Job Responsibilities:

The content of the role will vary depending on the area of responsibility. The grade will depend on the criticality, size and complexity of the category as well as the technical expertise required.

  • Responsible to plan, execute and manage the Materials Planning and Procurement for an uninterrupted supply of materials required to support Operations, Engineering, R&D and QC requirements as applicable;
  • Maintains targeted on hand quantities of materials while maximizing inventory turns;
  • Regularly reviews inventories of material to determine and execute necessary retests, material to material transfers, stock transfers, and disposal of expired materials where applicable;
  • Converts purchase requisitions and planned orders into purchase orders to be issued to approved vendors. Responsible for accommodating warehousing inventory issues by ordering predetermined lot sizes and the scheduling of deliveries. Works closely with internal teams to resolve the conflicting demands of component supply and limited inventory capacity;
  • For Indirect Procurement, utilizes and manages the p-card process where applicable;
  • For Indirect Procurement, sources vendors for new inventory items and alternate vendors for existing items, ensuring majority of goods and services are covered off by supply agreements negotiated by Corporate Procurement. Ensures that any substitutes are authorized by the manager of the appropriate department and that change control is completed if applicable;
  • Negotiates with vendors to identify the best pricing, delivery dates and times. Regularly reviews open purchase orders, following up on past due or near term deliveries, and updating of expected delivery dates. Informs all applicable internal customers when date changes will affect supply continuity. Communicates company material requirements to vendors as applicable;
  • Addresses, on an immediate basis, the supply issues, additional costs and preventative actions to vendors in the event of late deliveries, short shipments and/or quality rejections. Is responsible for the disposition or return of materials to the vendor. Communicates any additions, deletions or changes in delivery quantity to all applicable parties. Updates SAP to reflect these changes in a timely and accurate manner;
  • Responsible to ensure that all purchases meet or exceed quality requirements. Work closely with internal teams and Vendors in the prompt and equitable resolution of material and/or vendor quality issues, including prevention of reoccurrence, through contributing to quality investigations such as AQRS;
  • Responsible for obtaining all supplier documentation required to support the assigned portfolio of commodities. For example, documentation supporting the material retests periods, assessment of supplier driven change, and the controlled substance importation process. Responsible for applying for import permits and communicating approvals to vendor after approval;
  • Reconciles and resolves any vendor invoicing issues in conjunction with Accounts Payable;
  • Contributes / participates on cross-site and multi-functional initiatives for cost and quality improvement in support of Procurement;
  • Generates cost savings in conjunction with more senior Procurement staff. Seeks to improve cost, quality, and materials utilization. Identifies opportunities for savings and improvements and works with key stakeholders to implement;
  • Tracks, monitors, and controls prices of materials, and cost savings. May contribute to procedure writing, development and maintenance of metrics, and review and updating of all procurement master data;
  • Ensures specifications, databases including SAP master data, costing, and purchasing info records in SAP are reviewed and updated on an ongoing regular basis;
  • Monitors and reports vendor performance issues including on-time delivery and quality and escalate any unresolved issues or concerns to the supervisor or manager;
  • Responsible for the issuance of Request for Change (RFC’s) to address Procurement material change requirements. Manages the phase-in/phase-out of changes in materials or components.
  • Prepares and maintains reports as required to support the procurement function, operations, and key performance metrics;
  • Attends regular meetings in support of procurement;
  • May be required to assist / backup Buyers/Planners from other sites on an as-needed basis;
  • Works as a member of a team to achieve all outcomes;

  • Performs all work in accordance with all established regulatory and compliance and safety requirements;
  • All other duties as assigned.

Job Requirements:

  • 2-3 years in Procurement or Planning an asset;
  • SAP or equivalent ERP experience a requirement. MRP/MM Procurement experience an asset, preferably in SAP;
  • Post-secondary education in a related field an asset, this can include SCMP and/or CPIM enrollment/certification;
  • Ability to respond to conventional queries and will escalate more complex or unconventional queries to the next level;
  • Ability to manage and/or source assigned categories;
  • Comfortable and capable of working in a complex or ambiguous environment;
  • Intermediate knowledge of office automation software (excel, PowerPoint, word); demonstrated ability to utilize Excel in developing reports and analysis;
  • Knowledge of inventory management methodologies an asset;
  • Strong analytical /problem solving skills;
  • Excellent written and oral communication skills;
  • Work with all internal and external customers and vendors in a professional and ethical manner, following the guidelines of the PMAC or APICS code of ethics.
